Terms and Conditions

Valid for all trips and events organised by CzechTrack guides in 2015 and in the following years. These conditions are part of the proof of payment of each trip and your signature declares that you have been familiarized with them.

CONTRACTUAL RELATIONSHIP AND LIABILITY

You only become a participant and are entitled to receive services after you pay the price in full. If not, the CzechTrack guide is entitled to exclude a participant from a trip or event.

CzechTrack guides are not responsible for any uncontrollable consequences caused by unavoidable natural, civil, traffic and other events or conditions. Expenses and damages caused by these events cannot be reimbursed even if these events took place before the actual tour, which may therefore be cancelled. IN THE VISITED SIGHTS WE CAN NOT GUARANTEE THE LOCAL GUIDE’S INTERPRETATION IN YOUR SELECTED LANGUAGE. IN SUCH AN EVENT, OUR GUIDE WILL ARRANGE A DETAILED WRITTEN TEXT FOR YOU IN THE LANGUAGE YOU HAVE REQUESTED.

During the whole event, CzechTrack guides are also not responsible for participant’s assets in case of destruction, damage, loss or theft, neither are the guides responsible for participant’s health. But the guides will, during the trip or event, make every effort to minimise these risks. Participants are therefore obliged to follow the guide’s instructions and to obtain the advised equipment and insurance necessary for the trip or event.

Any necessary changes to the program during a trip or event are reserved and they are the responsibility of the CzechTrack guide.

ORDERING A TRIP OR EVENT AND DETAILED INSTRUCTIONS

You can easily make a binding order of a trip or event on our website. Important: Do not forget to include your contact phone number (preferably mobile) and email so we can contact you.

We will contact you within two working days after we receive the order request. Detailed instructions for the trip or event will be sent to you via email. In case you change your email address, please be sure to notify us.

By paying the entire price of the trip or event, you agree with its contents and you agree to all terms and conditions, as described.

PRICE

In case of the possible cancelation of a trip or an event due to a low number of participants, we reserve the right to reduce the price of the trip or event at the last minute so that we can increase the chances of filling the full capacity of the trip/event.

Prices of trips and events are calculated well in advance. It may happen that, for certain reasons (i.e. a dramatic rise in fuel prices, increased costs associated with transportation, increased exchange rate, etc.) the cost of a trip or event will also increase. Whenever the increase in the price of a trip or event is over 10 %, the client has the right to cancel the trip within 5 days of notification of this fact. If one fails to do so, it is assumed that the participant agrees with the increase in price and is obliged to pay the difference. We are obliged to inform you about the increase in the price in writing within 21 days before the scheduled trip or event.

FOOD

Each trip includes the catering that is shown in the propositions. Usually it only includes breakfast and other meals are paid for by the participants themselves. We always know where to dine and we will gladly advise you.

ACCOMMODATION

Accommodation is usually in guest houses or mountain cabins, mostly in double rooms. Beds are equipped with bedding. If you have other individual accommodation requirements, it can be arranged.

INSURANCE

EACH FOREIGN PARTICIPANT SHOULD HAVE PROPER TRAVEL INSURANCE, which is essential for participation in our trips. 

CANCELLATION OF PARTICIPATION IN A TRIP

You are allowed to cancel your participation anytime, without reason.

Cancelling the travel contract / binding booking must be sent IN WRITING by post or via e-mail immediately after the occurrence of a reason to cancel your participation in the tour.

In case the participant cancels their participation less than a day before departure, is late for the departure, cancels the participation during the trip to the destination, has invalid or incomplete travel documents or has obviously non-sufficient equipment, the cancellation fee is 100 % of the trip price. THE AGREED DEPARTURE TIME AND PLACE MUST BE RESPECTED.

Cancellation fees won’t apply if the participant sends a fully informed substitute for themselves, who is fully informed, has valid travel documents, is properly equipped and prepared for the trip and if the CzechTrack office is notified about it at least one day prior to departure of the tour.

TRAVEL DOCUMENTS

Each participant must have a valid passport. If visas are required, it is necessary to carry them on you.

RESPONSIBILITY FOR TRIP PARTICIPANTS

Everyone is attending the event voluntarily and at their own risk. The guide is entitled to prohibit an individual program or exclude a participant from part of the program, if his health status, experience or equipment do not meet the tour’s requirements. In very exceptional cases (i.e. vulgar behaviour towards other participants or local residents, systematic failure to follow guide’s instructions resulting in the distortion of the trip / event program, excessive alcohol or drug use, criminal offences, etc.) the participant may be left alone or handed over to the Police for further investigation. With regard to the current physical, mental and health condition of participants or with regard to adverse weather conditions or other circumstances, the guide is allowed to limit, cancel or replace the planned program with another program.

TRIP CANCELATION, CHANGE OF DATES

CzechTrack has the right to cancel a trip in the case of a failure to achieve the minimum number of participants required for the event. Cancellation of the trip will be announced as soon as possible – but no later than seven days before the scheduled start of the trip. In case of cancellation of the trip, we will offer you an alternative date + bonus.

CLAIMS

CzechTrack is responsible for the violation of the obligations resulting from the above terms and conditions. ANY COMPLAINTS AND COMMENTS MUST BE ADDRESSED IMMEDIATELY AFTER A TRIP OR EVENT IS OVER AND IN THE PRESENCE OF A GUIDE OR A REPRESENTATIVE OF OUR COMPANY. ANY COMPLAINTS FILED LATER WILL NOT BE ACCEPTED AS A REASON FOR A PAYMENT REFUND.

WE ASK CLIENTS NOT TO SEPARATE FROM THE GROUP THROUGHOUT THE WHOLE TRIP AND TO LISTEN TO THE GUIDE’S INSTRUCTIONS. SEPARATION FROM THE GROUP RESULTING IN A TRIP INTERRUPTION IS NOT SUBJECT TO REFUND. Filing a complaint straight away will enable dealing with the problem immediately and finding an appropriate solution. To enforce the claim, the customer is to state their name, surname, permanent address, date, reason and the subject of the complaint, the specific requirement and if possible, submit the actual situation. Claims must be settled within 30 days from the application. In cases where the complaint is justified, it is possible to provide the customer with a replacement service, or provide a reasonable discount. In cases where the claim is assessed as unjustified, the customer is informed in writing of the reasons of rejection.
